Coordonnateur des activités spéciales ou coordonnatrice des activités spéciales, communications et marketing Position: Full-time, permanent Salary range: $69,425 – 78,147 Reporting into the Manager, Communications and Marketing the Events Coordinator, Communications and Marketing is responsible for internal and external corporate events organization, project management and implementation on behalf of Invest Ontario domestically and abroad. This includes in-person events, press conferences, trade show booths and digital events such as webinars hosted by Invest Ontario, as well as Invest Ontario’s participation in other events. This is an exciting opportunity for a seasoned event planner who is looking to be part of introducing this new investment agency to the market. We are at a milestone moment and are looking for someone who can ensure our events make a big impact. This is the right fit for an organized, autonomous and collaborative professional who wants to elevate the Agency’s domestic and international presence with business investors (e.g. economic development professionals). The successful candidate will be required to work with high level executives and a variety of stakeholders and partners, and must be comfortable managing various relationships. The Events Coordinator will need to be a versatile multitasker who can work on a variety of B2B / G2B events. They will contribute to broader campaigns and media opportunities (e.g. press conferences) on behalf of the Agency and be required to: Support the development of creative ideas, concepts, and strategies to deliver innovative and inspirational events that support the Invest Ontario brand Engage senior management and key clients in the event planning process including production of guest lists, hosting duties and overall event goals and strategy Implement event activities based on strategy and plan set by Manager, Communications & Marketing Make operational decisions with vendors, suppliers and other stakeholders to ensure events run smoothly Ensure rigorous and competitive pricing from agencies and vendors, negotiate and execute venue contracts Coordinate sometimes highly complex logistical elements of strategic corporate events, conferences, business meetings, and more Produce and facilitate detailed work plans for events which includes Executive briefs, timelines, guest lists, venues, suppliers, legal obligations, staffing and budgets Create documents to manage and organize project elements and deliverables Support with internal processes such as purchase orders creation, payment tracking, and hiring vendors for events Budget preparation and reconciling and reporting on event finances Directly and indirectly ensure post-event evaluation and budgeting (including tracking and compiling event statistics relevant to future decision making) Invest Ontario hosted events will most often be held at the offices in Toronto or virtually. However, on occasion there will be press events held outside Toronto, such as press conferences to announce deals or trade shows booths that will require onsite support by the Events Coordinator. Who you are: Education and Experience At least 5 years of experience in Travel, Tourism, and Hospitality Industry, experience in producing large scale experiences and events 1-2 years’ experience in trade shows and conference sponsorship 1-2 years’ experience in media and press conference events Degree in Hospitality, event management, marketing and communications or an equivalent combination of education and experience Knowledge and Skills Thorough knowledge and experience in event planning, conference participation, and venue contract execution Well-developed project management skills, with a proven ability to manage multiple projects with multiple deadlines High degree of attention to detail Strong work ethic with desire for continuous quality and process improvement Flexibility to accommodate special event requirements outside of normal working hours Strong interpersonal, facilitation, diplomacy and relationship management skills to maintain strong partnerships with colleagues and stakeholders Cultural sensitivity The ability to work with a level of autonomy and meet deliverables and timelines Analytical and problem-solving skills Strong written and verbal communication skills as well as the ability to communicate effectively with people at all levels of the organization Intermediate proficiency in Word, Excel, PowerPoint, and web based applications Experience with Salesforce would be considered an asset Bilingual in French would be an asset Behaviours You have a strong strategic orientation, excellent communication skills, and superior analytical skills, demonstrated capability to deliver work and provide positive team energy in a fast-paced, multi-project team-oriented environment You will also need to be a strong collaborator and influencer working with partners in highly matrixed or complex environments You are an outcome-focused, team player who takes ownership of tasks you are given, whether they are large or small You are passionate about events, and you are keen to sharpen your skillset in event production!
